A practical checklist before replacing your software

A cheaper subscription is only useful when customers can still buy, receive emails, and access what they paid for. Test the whole journey before moving the business.

1. Write down the parts you must preserve

2. Price a complete replacement stack

Check the new plan against your actual capacities. Add the tools you keep and any new paid integrations. Estimate migration labour and a period when both systems may be running. Use invoice amounts rather than competitor headline prices.

3. Make a small working trial

  1. Create an opt-in form and check its confirmation behaviour.
  2. Send a test email sequence to addresses you control. Verify links, sender settings, and unsubscribe handling.
  3. Test the appropriate payment processor’s checkout flow. Check successful and failed payment behaviour.
  4. Sign in as a test student and verify lessons, downloads, and access permissions.
  5. Trigger an automation and verify that each expected action happens once.

Use the provider’s supported testing methods. Keep private customer data out of a trial unless you have a valid reason and the right controls to process it there.

4. Plan data, payments, and access separately

An exported contact list is not a complete migration. Preserve consent status and unsubscribe records. Check whether course progress, content, purchase records, and subscriptions can transfer. Existing recurring customer payments may need a separate migration process with your payment provider; do not assume importing contacts transfers billing.

Keep recoverable exports from the old platform and verify imported records before relying on them. Decide how current students will get access and where support questions will go.

5. Move a small section before the whole business

Start with one funnel or new product. Confirm email delivery, checkout, and access in ordinary use. Review redirects and important links if URLs change. Then move the remaining setup in manageable steps.

6. Cancel only when the replacement is proven

Check the old provider’s notice period, refund terms, annual commitments, and what becomes unavailable after cancellation. Retain the records you need. If a specialist tool still earns its place, keep it and update the savings estimate.

A good reason to pause: if a required integration, payment arrangement, or learning feature fails your trial, a lower monthly bill does not yet justify the move.
